HOMEOWNERS ASSOCIATION MEETING

 

MAY 9, 2022

 

Attendees: Karen Grant, Jim Glynn, Shirley Hosner, Tony Mahoney, Tom Becker, Vinny McCrave

Karen Grant called the meeting to order at 7:02pm.

Secretary Report:  Tony Mahoney reported on the minutes from last month’s meeting. Vinny McCrave made a motion to accept the minutes, Tom Becker seconded and all were in favor. Approved.

Tony Mahoney made a motion to accept the financial reports as submitted, Jim Glynn seconded and all were in favor. Passed.

Shirley mentioned that the golf has been self-supporting itself so far, probably good through the end of May. No HOA monies given to date.

44 people/homeowners have not paid their 2nd quarter dues. Please pay. Finally received the monies from the county for house on Jackson ($8,438.78). Activities still going on:  Bingo (ends 5/24); CAP meetings – last Monday of month. Bocce, Pickleball, Dominoes, Mah Jong will continue through the summer. Planning on having cookouts/dinners also during the summer.

Golf: No golf report available. Shirley Hosner gave financial information.

Buildings & Grounds:  Tom Becker reported on the following:

·        Vroom has taken over A/C work, last company wasn’t up to snuff.

·        Butch has a different mower – be patient

·        Trees by exercise room have been taken down

·        Trees in front of clubhouse is gone

·        Awning by exercise room is up

·        Cement pad was installed for dumpster in compound

·        New gates in compound

·        Front office mailbox was taken down

·        Light post on Kensington was hit, Duke Energy has to be notified to fix it

·        Pending projects will be put on hold until everyone comes back in the fall

Pool – a lot of problems going on.

·        Boulevard pump broke down, person took motor home to repair, only $22 to fix.

·        Challenger heater was down, now fixed.

·         Lockbox installed on gates to chemicals – only people who need the key will have one.

·         Hired new pool cleaning service – hired 1 ˝ days after last person quit. Please be patient with new company, still working out the kinks.

·        Vacuum system on pools – didn’t know it was there. Boulevard’s working. Challenger broken – now fixed.

·          Committee meeting – a lot of things with maintenance company.

·        Fiberglass very sharp so be cautious. Getting quotes for resurfacing, no costs on patching. Costs will be between $40,000 to $60,000. The last bandaid costs $30,000

·        Monday through Friday Richard and Fred are testing Ph levels, keeping a log.

·        Chemicals still being ordered by SPIES.

·        Have additional chemicals that SPIES doesn’t use.

·        Boulevard heater being worked on – a lot of algae. Shocked it

·        Pool Committee suggesting hiring a company (inspected/pool) to see what is really going on with pool. Tom would like someone to make a motion to have person just continue until we find out what costs if before it get voted on.

·        Marianne found out that Palm Casual is not moving from this area. They are taking 15 chairs and 10 lounges a week to do repairs.

·        Marianne has raised money to cover the purchase of 14 umbrellas – costs would be $3,879.82

Karen Grant said she doesn’t feel comfortable voting on Palm Casual. She wants to wait to see what kind of work they do on repairing the chairs and lounges. Palm Casual has not fulfilled their responsibilities. Tony Mahoney would like the specs to see if he can see if he can find the same umbrellas elsewhere at a more reasonable price. Karen would also like Palm Casual to put the warranty if writing if we purchase the umbrellas from them.

·        Tom has asked Richard and Fred if chemicals are low, please go through the office so we can keep a record of when/how much is being ordered.

·        Petition handed to Tom 10 minutes before the meeting in regards to a lift chair being installed in Boulevard pool. Tom has called a few companies - $6,000 to $8,000 to be professionally installed. Would like Board to accept the petition. Tony agrees that a lift should be installed but it has to go through the proper procedure. Pool committee needs to have a meeting and if they agree then it comes before the Board.

ARC:  Jim Glynn reported that he has received 10 applications for his review. He has approved them all. One driveway will be painted dark, but give it time, it will lighten up from the sun.

 

Rules & Regulations:  Tony Mahoney reported that there was a wall on Menlo Park that once he spoke with the resident that the porch has to be enclosed for medical reasons – cannot touch it. Wade Court and Menlo have done a wonderful job cleaning up the area. New rules & regs will be out in the fall. Everyone will be educated on these and homeowners will need to vote on these not the Board.

CERTS:  Vinny McCrave reported that they are proceeding with generators and lights in case of emergency. 2022 Hurricane maps are located in both clubhouses. 3rd Tuesday of the month, meetings are held. Currently have 4 generators and only 1 is working. Will look into having them repaired.

CAP:  Karen Grant reported that there is no unusual activity occurring in or around Polo Park. Another weapons class will be available for all CAP members only at no cost. If anyone else is interested, they can contact the Sheriff’s office and the cost is $45 per person to attend. Former military can renew if they have their ID. Meetings are the 4th Monday of the month. Ice cream social is scheduled for August.

Presidents Report:  Finally closed on 3rd house, now 4th house is in beginning stage. If you are leaving for the summer, make sure all lawn furniture and lawn ornaments are secured. Sheds locked and secured. Hurricane season is upon us and everyone needs to be ready if case of storm. If you need assistance, please contact the office and/or board member. Make sure medicine is also ready. Advent Health has on their website…5 steps to a living will, if anyone is interested. Lockboxes were installed at the pools due to vandalism. PPIPS donated $3,000 to golf and $2,500 to bocce courts.

Old Business:  Vinny McCrave asked that if anyone needs yard work help, the veterans would assist.

New Business:  The Board is going to seek another person to be certified in Bingo. One person is now certified, there needs to be another person for back-up. Tony Mahoney motioned that a new person be certified, Tom Becker seconded and all were in favor. Passed. Also there needs to be a sign outside of where the AED is so people will know where it is located in case of emergency.

At 8:35pm, Karen Grant made a motion to adjourn the meeting, Tony Mahoney seconded and all were in favor.
